Flawed System Was About to Break…Learn how we transformed an almost broken system into an efficient data management productivity driver

Relevate to the Rescue

Many nonprofits face tough funding cycles and requirements. If they don’t deliver complex programs and detailed reports they might face funding problems.

Whilst Not-for-profit enterprises often get grants, they are for specific programs, not system development. And that’s where the problem lies – system problems are not addressed.  As you might expect it takes a toll on the individuals supporting the organisation.

Happy Paws Happy Hearts knew they needed systems. They had previously engaged another Zoho Partner but found flaws in their system and needed a quick fix that would stand the test of time.

That’s when they approached Relevate to build their CRM.

A New System Was Needed Because the Current System Had a Major Problem

We discovered that the previous firm designed their systems to fail. So, we developed a transition plan to a new system structure. There was no way around it; we had to rip off the band-aid.

We knew the new structure would be a challenge. So, we involved the team from beginning to end. We built the new system architecture in a sandbox and provided training and scenario planning if things went wrong.

When we kicked off the countdown journey, we involved the company every step of the way and supported them through the cutover.

When the new structure was in place, we helped them fix teething problems and resolve data issues. After a week, the future looked bright. There were new possibilities and no more limits.

Happy Days at Happy Paws Happy Hearts

This was the moment we were waiting for.  Once growth constraints have been identified and removed, optimism returns; people have more confidence and are open to new ideas.

For example, the team embraced new work methods. The board loved the new reports which took one click to create instead of five days of grinding manual work.

Since then, we have worked with Happy Paws across a huge range of areas, such as:

  • Onboarding processes for new staff.
  • Volunteer management portal
  • Training room booking process
  • SMS integration
  • Invoicing processes
  • Integration
  • Cleaning up more than 26 disparate applications and more.

We also provided a training system. It saves time when team members ask “How do I do this?” questions, allowing us to build cool new features with it.

The platform we used was Zoho One. Zoho liked our work so much that they flew our customer to their customer conference in Sydney. They also created a video about our work:
